Why PDFs are still being typed off
The problem: The order arrives as a PDF in the mailbox, the invoice as a scan, the project data as an Excel file in its third format variant. And then someone types it all off: into the ERP, into the shop, into the accounting tool. It is slow, nobody likes doing it, and transposed digits only surface when the wrong goods ship or the payment does not match. With every new customer, the pile grows.
The solution: Our system reads the documents as they come in: email text, PDF, scan, spreadsheet. It extracts the relevant data, checks it against your systems, meaning article numbers, prices, open orders, duplicates, and hands it to the target: the order is created, the invoice verified, the receipt categorized. When something does not add up, it speaks up instead of quietly booking something wrong.
What happens next: Your team only reviews the exceptions instead of typing everything in. The process scales because the processing no longer hangs on one person, and it gets more robust with every odd format. If the document arrives by email, the pipeline actually starts one step earlier: with an inbox that sorts itself.
Typical scenarios
From incoming orders to receipt filing. These are the most common scenarios from our projects.
- Orders created automatically: B2B orders from emails, whether PDF, spreadsheet or free text, become finished orders in the shop or ERP system, stock check included.
- Invoice verification: Incoming invoices are checked against orders and agreed terms. Duplicates and deviations surface before anything is paid.
- Receipts for accounting: Receipts are recognized, categorized and handed to the accounting tool ready-prepared, instead of waiting in the shoebox folder.
